Elementary/Middle School Gym Scheduling

Permit Application:

  • Permit applications for gym space in the middle and elementary school groups in user Classification 1 must be received by June 2, in order to be qualified for the site based lottery drawing. The invitation, including the lottery procedure, will be sent to all local, Class 1 users to remind them to submit their applications according to the deadlines.

  • Permit applications for users in Classification 1, received after June 2, must be received a minimum of 10 working days in advance of the first activity.

  • All other Classifications of users will be contacted each spring to remind them of the deadlines they are to observe.

  • All community use of fields will be blanket permitted to the individual cities. All organizations requesting use of the fields will be directed to the appropriate city to apply for their permit.

Permit Cancellations or Changes:

  • All permit cancellations or revision to an existing permit must be received a minimum of 7 working days in advance of the activity.

Group Contacts:

  • The only organization contact who is allowed to make revisions, cancellations or make contact with the facilities office is the individual named as the person responsible on the permit.

Space Allocation:

  • There is no predetermined allocation of community space or preferred groups at any site. All organizations, within Classification 1 (see web site user fees/classification) are handled according to the lottery system which is implemented each spring. All other classifications of users are handled according to established timelines which are also communicated to users.

Preferred Communication:

  • All communication should be by e-mail which provides a written record of the change or request. In order to challenge a change that is not reflected on the permit, the permit holder must provide a copy of the written request.

Denied Dates:

  • The permit holder must always share the permit with the coaches. The coaches should carry a copy of the permit to the activity. Special attention must be given to checking the denied dates on the permit. Groups should not arrive at the activity location asking to use the space when the dates show as denied on the permit.

Bumping Community Permit Holders:

  • Community use of school facilities is offered with the understanding that it does not, in any way, interfere with the regular day school program. All efforts are made to insure that school calendars are scheduled within the system prior to community permits being entered. However, there are a variety of reasons (emergency weather closings and other circumstances unforeseen by the school) that community permit holders may be bumped from the space. When possible, we will reschedule groups as space allows. If the date has been prepaid we will credit the user or refund the amount.

Activity Times:

  • Groups must enter and leave the site according to the times indicated on the permit. Groups will not be allowed to enter the space early or stay later than the permit timelines.
